SUMMARIZED PROCEDURE FOR APPLICATION, APPROVAL, VERIFICATION OF EMPLOYMENT, AND EVALUATION OF GRADUATE ASSISTANTS
Requests for New Assistantships:
Department Chairs submit Request for allocation of new Graduate Assistants to Dean
(1st Monday in March)
Deans submit approved requests to Dean of Graduate Studies for presentation to Graduate Council for approval/disapproval (2nd Monday in March)
Dean sends approved request to Provost for approval/disapproval (within 5 days of Graduate Council Meeting)
Applications:
Student submits application to School of Graduate Studies (no later than 1st Monday in May)
School of Graduate Studies sends applications to appropriate Deans (1st Monday in May)
Deans send applications to appropriate Department Chairs (2nd Monday in May)
Department Chairs send selections to Deans (3rd Monday in May)
Approval:
Deans submit selections to Graduate Dean for approval/disapproval (3rd Wednesday in May)
Graduate Dean submits approved selections to provost for approval/disapproval (4th Monday in May)
Provost returns selections to the Graduate Dean (2nd Monday in June)
Graduate Dean sends award letter to students (3rd Monday in June)
Students return letter of acceptance (3rd Monday in July)
Graduate Dean submits list of acceptances to appropriate Deans (4th Monday in July)
Verification:
Deans submit LAPR form for undergraduates and GAPR for graduate students (for payroll and employment verification) to Graduate Dean (2rd Monday in September)
Graduate Dean sends Letter of verification to the Provost (2nd Wednesday in September)
Provost submits letter of verification to Vice President of Financial Affairs (3rd Monday in September)
Evaluation:
Division Chairs submit Graduate Assistant Evaluation to Deans (by the last day of each quarter)
Deans submit Graduate Assistant Evaluations to the Dean of Graduate Studies (1st day of each quarter)
